The working method

Nothing about your Italian position should reach you as a surprise.

A method is mostly a set of promises about what will not happen: no opinion given before a document has been read, no price arriving after the work, no deadline discovered on the day it falls. What follows is the order in which files are actually handled here, including the parts that are inconvenient to state, such as what the firm refuses and how an engagement ends.

Where every file starts

A document first, a conversation second.

A description of a situation reports what somebody believes happened. A document reports what was filed, claimed or notified, and it can be placed in ten minutes by someone who reads these things all day. This is why the firm asks for one before it asks for anything else, and why an hour spent explaining the background is worth less than a single page carrying a protocol number.

What comes back is written. Not a telephone call you have to remember and not a meeting that leaves an impression, but a short note that says what the document is, which office produced it, what it obliges you to do, when the term actually expires and whether anything is already at risk. It is written in your language. Where an Italian term has no honest equivalent the Italian word is given and explained once, because that is the word that will appear on the next document as well.

The reading costs nothing and commits you to nothing, and that is not a courtesy. Either it shows there is work worth doing, in which case you will want its size before agreeing to it, or it shows there is not, and saying so in the first week is cheaper for both sides than discovering it in the third month.

1

One document, whatever it is

The notice, the return, the deed, the lease, the letter with a date on it. You do not need to know which of them matters and you do not need the Italian vocabulary for it.

2

The record behind it is checked

A document on its own is half the picture. Where it is possible we look at what the Italian records say: the taxpayer position, the cadastral entry, the filings actually received, the notification dates.

3

A written note comes back

Three pages at most, in English or Russian. What the document is, what it obliges, when the term falls, what doing nothing would cost, and which route we would take in your place.

4

You decide with the price in front of you

If there is work, its perimeter and its cost are stated before it begins. If there is none, the note says so and nothing further happens, which is a perfectly acceptable outcome.

The perimeter

What the firm takes on, what stays with you, what it costs.

An engagement begins with a boundary drawn on paper. It names the obligations the firm assumes, the ones that remain yours, and what has to happen on the dates where the two meet. The reason is practical rather than formal. Most of the administrative failures we are asked to repair happened in a gap, on a duty each party quietly assumed the other was watching, and a gap of that kind is invisible until a penalty describes it.

Price is agreed before the work and never after it. The recurring year is predictable, so its fee is fixed for the period and stated as a figure you can budget against. Some work is genuinely not predictable, and a collection folder of unknown size is the standard example, because nobody can say how many items it holds until the extract arrives. There the amount is agreed in advance on a stated basis with a ceiling, so that an unexpected afternoon becomes a conversation rather than a line on an invoice.

Costs that belong to somebody else stay visible as such. Official duties, searches, registration fees, certified translations and stamps are shown separately at what they actually cost, and no commission is taken on them.

What the firm assumes

Bookkeeping and its review, closings, the Italian returns and payments, filings with the offices, correspondence with the authorities, and the calendar that governs all of it.

What remains with you

Telling us when something changes, sending what is asked for before the date rather than after it, signing what only you can sign, and keeping your originals.

Fixed where the year repeats

Recurring accounting and filing work is priced as a fixed amount for the period. You know the figure at the start of the year and it does not move because a month was busier than expected.

Agreed in advance where it does not

Analysis, disputed positions and folders of unknown size are quoted before the work with a stated basis and a ceiling, and if the ceiling is going to be reached you hear about it before it is.

The rhythm of the work

A year that arrives on schedule instead of by ambush.

The Italian administrative year is a fixed calendar, and almost nothing in it is a surprise to the people who work inside it. It is a surprise to foreign clients for one reason only: nobody sends them the list. So the list is built at the start of an engagement, from what actually applies to you rather than from a generic table, and it is the working document the whole relationship runs on.

Every date on it carries a name. Not a department and not the firm in the abstract, but the person responsible for the act and, where you have to supply something, the date by which we will have asked you for it. A request that reaches you three weeks before a filing is an ordinary administrative task. The same request on the morning of the deadline is an emergency, and emergencies are how good files go wrong.

A client with an Italian property, an Italian activity and a residence somewhere else lives under three overlapping calendars, each with its own logic, and the overlap is where things get dropped. Holding all three in one place is unglamorous work and it prevents more damage than any clever intervention later.

Built from your position

Only the dates that bind you, listed with what each one requires. A calendar padded with obligations that do not apply to you stops being read within two months.

A name against every date

Who performs the act and who supplies the document it needs. Responsibility that belongs to everybody is responsibility that belongs to nobody.

Documents asked for early

The material we will need is requested well before the date, in a list, in your language, so that gathering it is a task and not a scramble.

The monthly points

Settlements, withholdings and the invoicing flow, checked on a fixed day of the month rather than when somebody remembers.

The annual points

Closings, returns, property taxes and the payments attached to them, prepared in the weeks before rather than in the days before.

When a date moves

Italian deadlines are extended and rearranged more often than any foreign client expects. A change reaches you as a revised date, in writing, with what it does to the sequence.

One file, one person

Nothing is handed down a chain.

In a larger structure a file is prepared by one person, reviewed by another and explained to the client by a third, and the explanation is therefore always a little thinner than the preparation. This practice is deliberately small and works the other way round. The person who reconstructed your position from the documents is the person who tells you what it means, which is the only arrangement in which the awkward questions get proper answers, because the awkward questions are usually about the assumptions made three steps earlier.

It has a cost, and the cost is capacity. The firm takes on a limited number of files and says so when a new one will not fit, rather than accepting it and diluting the attention paid to everybody else.

Documents live in one place. The client area of this site holds what has been filed, what has been paid, what was received from the offices and what is coming next, sorted so that a document can be found in three years by someone who was not present when it arrived. Originals stay with you. The firm works from copies wherever the law allows it, and where an original genuinely has to be produced, that is said in advance along with when it comes back.

Language is handled the same way. Correspondence, meetings and explanations happen in English or in Russian. The filings themselves are necessarily in Italian, because the offices receive nothing else, but you are never asked to approve a document whose content has not been set out for you in a language you actually read.

Continuity rather than volume

The same person across the years, who remembers why a choice was made in the second year and can tell you whether it still holds in the fifth.

Where your documents live

The client area, reachable at any hour, arranged by year and by subject, with what has been filed and what is due kept in the same place rather than in an email thread.

The originals stay with you

Deeds, contracts and signed acts remain in your hands. Where an original has to travel we say why, for how long, and how it is returned.

English or Russian, Italian where the law insists

You read everything that concerns you in your own language, including the summary of what an Italian filing actually says before it is submitted.

Limits and endings

What the firm refuses, and how a relationship stops.

A method is defined as much by refusals as by services, and the refusals are stated here so that nobody spends a week discovering them. The firm will not accept work that would require it to hold a qualification it does not hold, and it does not provide legal representation of any kind. It will not write a document so that it says something the underlying material does not support, will not date an act to a day on which it did not exist, and will not prepare an application whose eligibility conditions are plainly not met, whatever the closing date.

There are quieter refusals as well. Work is declined when the client wants the conclusion agreed before the documents are read, because the conclusion in those files is already the problem. It is declined when the matter lies outside what this office can do competently, in which case we say so and, where we can, say who to ask instead. And a procedure is not built when the arithmetic says it will not pay for itself, which happens more often than people expect.

The end of an engagement is designed at the beginning. There is a notice period on both sides, and inside it the position is brought to a reconciled point rather than abandoned wherever the calendar happened to stop. That means the filings falling due before the end are made, the balances are reconciled, the open deadlines are listed with their dates so that your next adviser inherits a map instead of a mystery, your archive is handed back in ordinary formats and any delegation the firm holds is revoked. A client who leaves should be able to hand the file to somebody else and have them understand it in an afternoon.

Work we decline

Anything requiring a credential the firm does not have, anything that would need a document to be made to say what it does not say, and applications that cannot succeed on their own conditions.

Roles we do not take

Legal advice, pleadings and representation before courts and authorities. Where a matter needs them it goes to the law office we work with, and our part stays the economic and accounting analysis.

Leaving, in an orderly way

Notice on both sides, the pending filings completed, the balances reconciled and the open dates listed. An exit that has been thought about is also a sign of how the work is done.

What you take with you

Your archive in readable formats, a reconciled position, the list of what falls due next and a handover note your next adviser can work from without calling us.

Questions we are asked first

Before you write to us.

How long does the first reading take?

A few working days for a single document that speaks for itself, such as a notice, a return or a deed. Longer when the answer depends on records we have to obtain first, because an extract from the collection agency or a cadastral search arrives on the office's schedule rather than on ours. You are told which of the two it is when you send the document, not after a fortnight of silence.

Do I have to sign anything before you look at a document?

No. The first reading is a piece of correspondence, not an engagement. Nothing is signed until there is a perimeter and a price to sign for, and by then you have the written note in front of you and can tell whether the work is worth its cost. If it is not, the note is still yours to keep and to show to somebody else.

Who does the work on my file, and who answers when I write?

The same office in both cases. This is a small practice by choice: files are not passed down a chain, and the person who explains a position is the one who built it out of the documents. Where a specialist is genuinely needed, a lawyer above all, you are told who they are and what their part is before they are involved, rather than finding a new name at the bottom of a letter.

I already have an accountant in Italy. Can you still look at something?

Yes, and it does not have to mean changing anything. A second reading of one position is ordinary work and we do it without contacting anyone else unless you ask us to. If you do decide to move the file later, a handover is a defined exercise: ledgers, the filings actually received, the open balances and the credentials, requested in writing and reconciled before the first new filing.

What happens if I want to stop?

You stop. The engagement states a notice period on both sides and what has to be done inside it: the position brought to a reconciled point, the filings that fall due before the end made, the open deadlines listed with their dates, your archive handed back in ordinary formats and any delegation we hold revoked. Leaving badly is expensive for a client, so the exit is written down while the relationship is still a good one.

Start with the document you understand least.

It does not have to be the most important one. Whatever is sitting in the drawer because nobody could read it is usually the document that tells us most about where you stand. The first reading carries no obligation and no fee.
